Get Involved in Council Events

Thank you for your interest in Frankston City Council's 2019/2020 major event season.  The season's events include:

  • The Waterfront Festival
  • Frankston's Christmas Festival of Lights
  • The Mayor's Family Picnic
  • Party in the Park
  • Pets’ Day Out
  • Ventana Fiesta

Selection criteria

We receive a number of applications for these events and as such, all applications will be assessed and ranked as part of our selection criteria which includes:

  • Location - Preference is given to applicants who are based in and around the Frankston City Council municipality.
  • Prior performance - If you have been involved in Frankston City Council events before, prior performance is taken into consideration.
  • Relevance to the event - A breakdown of each event vendor requirements is below.
  • Benefit and interaction with the community at the event.
  • For food and beverage vendors only - Consideration is given to the Food Checker menu assessment being completed and the result of the assessment.
  • Distribution of opportunities across providers and provider types. We will share the opportunities throughout the community.

Categories

A number of exciting opportunities exist for business, professionals and community organisations to participate in our events as part of the following categories:

  • Food Vendors
    These vendors prepare and serve a range of savoury and dessert foods to patrons at our events. The food items for sale are prepared, cooked or heated on site.
  • Beverage & Snack Vendors
    These vendors sell snack-style food and beverages which require minimal preparation on site and/or sell pre-prepared snack-style food and drink items to patrons.
  • Licensed Beverage Stall
    Alcohol vendors must hold applicable current liquor licenses and are selected to provide alcoholic beverages to patrons of The Waterfront Festival each year. Alcohol is not served at any other event.
  • Activities
    Business's and groups are encouraged to participate if they are able to provide a suitable activity to entertain or provide a service to patrons. For businesses or groups who wish to raise awareness of their organisation, it is our preference for these demonstrations or activities to be free of charge to patrons, with no selling on the day. Frankston Major Events will accept and consider applications from commercial operators providing activities and demonstrations, but will only be selected based on available budget and suitability to the event.
  • Performers
    Amateur and professional performers are invited to apply to participate at our events. We encourage you to provide us with as much information as possible about your performance so that we can make an informed decision. We do endeavor to include local content in our events, so if you are located within the municipality, please apply. 
  • Demonstration:
    The demonstration category is only valid for our Pets' Day Out event as part of our demonstration arena. Businesses and groups are encouraged to participate within the arena, showcasing a pet-related activity or product.
  • Market Stallholders
    Market stallholders are categorised into two types: home-based and commercial. Home-based market stallholders may be asked to provide proof that the market stall business is operated from their home and not a commercial / professional operation. The products sold at events must be consistent with the event theme or target audience. Items that cannot be sold at Frankston City Council events include but are not limited to imitation weapons or items such as silly string or confetti. 

Please note: Frankston’s Christmas Festival of Lights and The Waterfront Festival markets are externally managed. If you are interested in applying for a stall please apply directly through the operator. Please check back in August/September 2019 when these details will be released.

The Mayor’s Family Picnic

When: Sunday 8 September 2019
Time: 11am – 2pm
Location: Banyan Reserve, Carrum Downs
Approximate Attendance: 4,000

This much-loved FREE annual event is the perfect way to kick off the major events season with the community, and offers the chance to meet the Mayor, Michael O’Reilly in person. It’s also a great way to learn more about the local area.

Application Categories: This event is seeking beverage and snack stalls, commercial and home-based market stalls, community groups, not-for-profit organisations, performers and activity providers.

Criteria

  • Food vendors will not be considered for this event
  • Performers are to be musical acts that are suited to playing on the main stage
  • Activity providers should have a strong focus on family entertainment
  • Community groups and not-for-profits are encouraged to provide a free activity for children

Pets’ Day Out

When: Sunday 13 October 2019
Time: 10am – 3pm
Location:  Ballam Park
Approximate Attendance: 8,000

Hosted within the grounds of the pristine Ballam Park, Pets’ Day Out is the premier FREE annual event for animal lovers, pet owners and their pets.

Application Categories: This event is seeking beverage and snack stalls, food stalls, and animal related market stalls, community groups, demonstrators and activity providers.

Criteria

  • Market stalls, community groups, demonstrators and activity providers should all have a strong focus on pets and animals

Frankston’s Christmas Festival of Lights

When: Saturday 30 November 2019
Time: 5pm – 10pm
Location: Davey Street, Frankston
Approximate Attendance: 45,000
Event Description: Victoria’s largest FREE Christmas event, Frankston’s Christmas Festival of Lights is celebrating 22 years of bringing Christmas to our city. This much-anticipated FREE annual event holds a special place in the hearts of residents and visitors, offering a magical night of fun, entertainment and festivity for all.

Application Categories: This event is seeking beverage and snack stalls, food stalls, musical performers, activity providers and community stalls.

Criteria

  • Market stalls applications will be managed externally and should not apply here
  • Food and beverage vendors must be able to serve large quantities of people
  • Performers are to be musical acts that are suited to playing on the main stage. Christmas carols need to make up the majority of musical material
  • Activity providers should have a strong focus on family entertainment with Christmas theming
  • Community groups are encouraged to provide a free activity for children.

The Waterfront Festival

When: Saturday 15 February and Sunday 16 February 2020
Times: Saturday 11am to 10pm, Sunday 11am to 6pm
Location: Frankston Waterfront
Approximate Attendance: 35,000

The Waterfront Festival is our chance to play by the bay! There is plenty of live music, food and beverage options, markets, activities, rides and amusements at this two day festival. Saturday night is extra special with a fireworks display launched from the pier.

Application Categories: This event is seeking beverage and snack stalls, food stalls, liquor vendors, musical stage and roving performers, activity providers and community stalls.

Criteria

  • Market stall applications will be managed externally and should not apply here
  • Food and beverage vendors must be able to serve large quantities of people 
  • Performers are to be musical acts that are suited to playing on the main stage
  • Activity providers and roving entertainers should have a strong focus on family entertainment
  • Community groups and not for profits are encouraged to provide a free activity for children

Party in the Park

When: Tuesday 7 April 2020
Time: 9.30am – 1.30pm
Location: Cruden Farm, Langwarrin
Approximate Attendance: 6,000

It’s time to party, and there’s no better place to do it than at magical Cruden Farm. The theme for this year’s event is farm, we encourage all vendors to get amongst the theme too.

Families look forward to this FREE annual celebration of community every year, and with so many awesome free interactive activities, why wouldn’t they? 

Application Categories: This event is seeking beverage and snack stalls, community groups, not-for-profit organisations, educational groups, sporting groups, performers and activity providers.

Criteria

  • All stalls at this event are required to provide a children’s activity
  • Food vendors will not be considered for this event
  • Performers are to be acts that are suited to playing on the main stage or roving. These acts should target pre-school / primary school aged children
  • Activity providers should have a strong focus on family entertainment, particularly the pre-school and primary school age demographic

Healthier Options at Council Events

Frankston City Council is working towards having a wider range of healthier food and drink options available at Council run events.

The Healthy Eating Advisory Service provides information on why vendors should consider offering healthier options and specific actions on how to achieve this.

Frankston City Council will look favourably on Vendors who are willing to include healthier choices on their menus and to those who have completed the Food Checker assessment below:

Community BBQ Ballot Application

This application is an opportunity for local Community Groups to run a fundraising sausage sizzle at one of Council’s major events. 

Applications close on Monday 8 July with applicants notified in early August of the outcome.
